At Your Travel Counsellor (YTC), your privacy matters deeply to us. As part of the wider Travel Counsellors Group, we follow the Group’s trusted governance, systems, and policies, ensuring your personal data is handled with the same care, security, and transparency wherever your journey takes you.

This privacy notice explains how we collect and use your personal data when we arrange travel, when you use our online services or travel app, when you contact us, or when you attend an event with us. It also outlines how we protect your information, the rights you have, and how the law keeps you safe.

Our role and the role of independent Travel Counsellors

Travel Counsellors Limited (TCL) “we”, “us”, “our” is a controller under data protection law.

As a YTC customer, your personal data may be processed by Your Travel Counsellor (your individual franchisee) and by TCL.

Travel Counsellors including your YTC adviser are also controllers of your data. In most situations, your Counsellor and TCL are joint controllers, working together to deliver your travel arrangements.

Sometimes, your Travel Counsellor acts independently for example, when managing their own marketing activity or deciding how best to communicate with you. If you have any questions about how your individual Counsellor handles your data, you can always contact them directly.

The data we collect about you

“Personal data” means any information that identifies you. Depending on how you interact with us, we may collect:

  • Identity Data: name, date of birth, passport details, nationality, title.

  • Contact Data: address, email, phone numbers.

  • Financial Data: payment details and transaction history.

  • Booking Data: travel services booked, travel insurance details, visas, in-resort issues.

  • Travel Preferences: dietary needs, accessibility requirements, health information relevant to travel, preferred airports or providers.

  • Technical Data: IP address, app login data, browsing data, device type.

  • Profile Data: past bookings, loyalty details, preferences, feedback.

  • Usage Data: how you use our website, app, or services.

  • Marketing Data: communication preferences.

  • Telephone Interaction Data: details discussed during calls.

  • Event Attendance Data: dietary needs, access requirements, CCTV images, and similar.

We may also use fully anonymised Aggregated Data for analysis and service improvement.

Special category and criminal offence data

Travel planning sometimes requires more sensitive information (such as medical requirements, mobility needs, or dietary restrictions linked to religion or health). We only use this information when necessary and always with extra care and protection.

If you cannot provide personal data

Sometimes we need certain information by law or to arrange your travel. If you choose not to provide it, we or a travel supplier may not be able to complete your booking. We’ll always let you know if that’s the case.
